Beyond tools, our Fractional CxO Program places experienced tech leaders with nonprofits to strengthen their tech and data strategies. So far, over 250 nonprofits have embraced Tech4Dev platforms. Role

The team is looking for an Administrative Associate who thrives on variety and enjoys being the steady hand behind seamless operations. Responsibilities

Vendor Management

  • Manage relationships with vendors for travel, hotel bookings, merchandise, devices, stationery, and event materials.
  • Negotiate contracts to secure quality service at the best value.
  • Keep accurate records of laptops, devices, and office supplies.
  • Assist in evaluating and selecting admin and HR partners.
  • Oversee procurement, delivery, and inventory tracking of IT assets, and provide basic IT support as needed.

Travel, Logistics, and Accommodation

  • Coordinate travel, accommodation, and local transport for team events and business trips.
  • Liaise with hotels to negotiate rates and ensure comfortable stays.
  • Monitor expenses, ensuring alignment with policies and budgets.

Internal and External Coordination

  • Act as the admin point of contact for internal teams, vendors, and partners.
  • Support onboarding, induction scheduling, and HR admin tasks.

Communication & Support

  • Draft and manage internal emailers for festivals, birthdays, and anniversaries.
  • Provide logistical and technical support for meetings, conferences, and field visits.
  • Always maintain confidentiality and integrity in all tasks.

Sprint & Event Planning

  • Take ownership of logistics for quarterly sprints (7–10 days, including travel).
  • Scout locations, finalise venues, manage bookings, and coordinate all logistics.
  • Serve as the single point of contact for hotels and vendors during events.
  • Support post-event retrospectives to improve future sprints.

Requirements

  • Bachelor’s degree in Business Administration or a related field.
  • 5–7 years of experience in administrative roles, ideally in dynamic or corporate environments.
  • Proficient in Microsoft Office and Google Suite.
  • Discreet, reliable, and self-driven, with a knack for organisation.
  • Excellent negotiation and communication skills.
  • Willingness to travel for 7–10 days every quarter (including up to a week at a stretch for sprints).
