Role

aikyamhq.com is looking for a motivated, strategic, and highly adaptable Chief of Staff (CoS) to work closely with our Founder CEO. The CoS will act as a strategic advisor, operational executor, and communications bridge between the Founder CEOs office and the different initiatives, teams, changemakers supported by aikyam. You will ensure the aikyam’s founding vision is translated into actionable strategy, cross-functional initiatives are executed seamlessly, and the Founder CEO's time is optimized. The ideal candidate is a proactive problem-solver with a high degree of emotional intelligence, and the ability to thrive in an ambiguous, fast-paced environment.

Responsibilities

Strategic Planning & Alignment

  • Partner with the Founder CEO to define, communicate, and track strategic impact objectives, ensuring alignment across diverse teams, projects.
  • Monitor key performance indicators (KPIs) and operational metrics, flagging areas of concern and proposing strategic pivots.
  • Lead the annual and quarterly planning cycles (e.g., OKRs, Annual Operating Plans) for the team, internal projects.

Operations & Execution 

  • Lead high-priority, cross-functional projects (e.g., pattic.org , aikyamjobs.org , etc).
  • Identify operational bottlenecks across the organization and implement processes to improve overall efficiency.
  • Drive the preparation, agenda, and follow-up for executive, team and board meetings, ensuring decisions are documented and action items are completed.

Information Flow & Gatekeeping

  • Act as the primary filter for the Founder CEO, determining which issues require immediate attention and resolving secondary issues independently.
  • Prepare comprehensive briefs, Action reports, and analyses for the Founder CEO ahead of critical meetings, Funder meetings, and mentoring change makers.
  • Triage incoming requests, balancing the needs of the organization with the Founder CEOs’s time constraints.

Communication & Stakeholder Management

  • Serve as a trusted advisor and sounding board to the Founder CEO, providing honest feedback and offering diverse perspectives.
  • Act as a proxy for the Founder CEO in relevant internal meetings or external negotiations, speaking with authority and making aligned decisions.
  • Draft internal organizational announcements and external communications on behalf of the Founder CEO.

Requirements

  • Experience: [4-8+] years of experience in high-impact roles such a Founder CEOs' Office/CoS role in a high-growth startup.
  • Systems Thinking: Ability to see the "big picture" and understand the complex interconnectedness of the work aikyam does. 
  • Mental Models & Problem Solving: High proficiency in applying diverse mental models (e.g., First Principles thinking, Second-Order effects, Pareto principle, Inversion) to deconstruct ambiguous challenges, cut through noise, and optimize executive decision-making.
  • AI Fluency & Agentic Mindset: Highly AI-ready with a deep fluency in leveraging GenAI tools, LLMs, and automation to amplify personal and organizational productivity. Possesses an "agentic" approach—capable of deploying AI-driven workflows to synthesize data, solve operational problems, and scale the executive office's impact.
  • Operations Acumen: Understanding of organizational dynamics, financial modeling, P&L management, and business operations.
  • Project Management: Proven track record of successfully managing complex, multi-stakeholder projects from inception to completion in a fast-paced environment.
  • Communication: Good written and verbal communication skills in English & Malayalam, with the ability to simplify complex information into clear, actionable executive summaries.
  • Soft Skills: High emotional intelligence (EQ), absolute discretion with confidential information, and the ability to build trust quickly across all levels of the organization.
