This role sits within Smile Foundation's Strategy Cell, which supports the senior leadership on planning cycles, governance processes and organisation-wide initiatives.
Role
This role supports the Executive Trustee, Executive Director, and the Strategy Cell in running the organization's planning, governance, and leadership coordination. The Executive Assistant will help turn leadership priorities into clear plans, track progress, and keep information flowing smoothly across departments. It is a good fit for early career professionals who want to build a strong foundation in general management and work closely with senior leadership.
Responsibilities
- Consolidate and analyse organisation-wide MIS to support performance tracking and decision-making.
- Maintain institutional systems, SOPs, policies and governance records so that operations run without interruption.
- Track project progress, execution gaps and cross-functional dependencies, and follow action items through to closure.
- Support budgeting, KPI tracking and organisational reporting cycles across departments.
- Support enterprise-wide transformation projects, process improvement and the upgrade of organisational systems.
- Coordinate technology needs on the programme side, including Salesforce CRM, MIS tools and digital platforms.
- Support Annual Business Planning, quarterly reviews and organisational planning processes.
- Prepare strategic summaries, concept notes, presentations and briefing documents for management.
- Maintain strategic trackers and prepare review materials for ECM, BOT and SLT meetings.
- Conduct sector research, benchmarking studies and policy analysis on development, CSR and ESG, and track trends across education, healthcare, skilling and philanthropy.
- Coordinate meetings of the Executive Trustee and Executive Director, including agendas, background notes and minutes.
- Coordinate governance meetings including ECM, BOT, SLT and Internal Audit, and manage the related documentation and compliance.
Requirements
- Postgraduate qualification in Management, Economics or a related discipline.
- 2 to 4 years of professional experience or a working understanding of Strategy, Consulting, Operations, Governance, Executive Office functions or development sector organisations.
- Strong analytical, documentation and organisational skills.
- Excellent written and verbal communication.
- High degree of professionalism, integrity, confidentiality, and stakeholder management capability.
- Ability to work in a fast-paced, multi-functional environment while managing several priorities at once.
- Planning and organising skills, with critical thinking and sound judgement.
- Research and knowledge management skills, with the ability to turn findings into clear briefs.
- Data analysis and reporting skills.
- Learning agility, adaptability and resilience.
- Advanced Microsoft Excel and Microsoft PowerPoint.
- Working knowledge of Google Workspace.
- Salesforce CRM, Tableau and AI productivity tools are preferred.
