This role sits within Heifer's state programme operations, which keeps offices, procurement and events running so field teams can focus on communities.

Role
The Program Support Associate keeps the state office and its programme activities running smoothly. This means day-to-day administration, coordinating travel and logistics, supporting procurement and vendors, and managing workshops, trainings and meetings from the first plan to the final settlement. The person in this role works closely with programme staff, the Head Office, finance colleagues and outside service providers, and makes sure everything is done in line with Heifer's policies and on time.
Responsibilities
- Manage day-to-day state office administration and operational needs.
- Coordinate administrative support for state-level meetings, trainings, workshops and field visits.
- Maintain office records, inventories, files and administrative documentation in good order.
- Arrange travel, accommodation, local transport and logistics for staff, consultants and visitors.
- Track office assets and equipment and keep them properly maintained.
- Support coordination between the State Office and Head Office on administrative matters.
- Support procurement in line with Heifer's procurement policies and guidelines.
- Work with vendors and service providers on quotations, negotiations, delivery tracking and timely completion.
- Maintain vendor records, procurement files and payment paperwork, and process invoices and bills with the Finance and Admin teams.
- Coordinate printing, material development and procurement of training and workshop materials.
- Lead end-to-end management of workshops, seminars, trainings and review meetings, covering venue, vendors, hospitality, participant logistics and execution.
- Prepare event documentation such as agendas, participant lists, attendance sheets and logistical plans, and track event expenses through to settlement.
Requirements
- Bachelor's degree in arts, commerce, social sciences, social work or a livelihoods-related field.
- A master's degree in business administration (MBA) or social work is preferred.
- Minimum 2 years of relevant work experience in programmatic and administrative support.
- Experience with the development sector or international NGOs is preferred.
- Computer proficiency in Microsoft Word, PowerPoint, Excel and Outlook.
- Sound understanding of integrated development issues and the root causes of poverty in India.
- Knowledge of development trends, challenges and opportunities and what they mean for community development.
- Ability to organise office records, inventories and documentation so anyone can find them.
- Comfort working with vendors and service providers on quotations, negotiation and delivery timelines.
- Attention to detail in invoices, bills, contracts and supporting documents.
- Ability to plan and run events for large groups without letting details slip.
- Strong coordination skills across programme teams, finance colleagues and outside providers.
- Willingness to travel within the state for field visits and events.
- Ability to meet deadlines and follow organisational policies and procedures carefully.
