In India, that research only reaches people because an operations team clears the path for it, working with clients, government agencies, statutory bodies, vendors and consultants so programmes run without hurdles. This role sits within WRI India's Operations team, which covers budget and finance, accounting and reporting, legal counsel, human resources, IT and facilities.

Role

WRI India is looking for a motivated, detail-oriented and organised person to support its operational and administrative work. You will maintain budgets for complex, multi-part grants, track spending, monitor contracts and sub-agreements, coordinate events and travel, and take on other administrative and support tasks as they come up. The work is split roughly into financial management, contracts management, conference and travel support, and team administration.

Responsibilities

  • Update and maintain project budgets using budgeting and forecasting software (TM1).
  • Work closely with the Operations Manager to keep budget forecasts accurate and reduce variance from planned targets.
  • Coordinate with the accounting, payments, HR and programme teams on day to day financial matters.
  • Follow up with programme teams on timesheets, expense reports and ad hoc spending for outreach, communication and delivery work.
  • Ensure the team meets the terms and conditions of complex grant and contract agreements.
  • Process documentation for agreements, contracts, sub-grants, work authorisations and purchase orders.
  • Monitor partner performance against contract requirements and maintain support reports for the full life of each contract and sub-grant.
  • Guide partner organisations and consultants so they understand and meet sub-grant, contract and funder requirements.
  • Process invoices and payments for partners in line with WRI India's policies.
  • Coordinate logistics for domestic and international workshops and events, including venue, catering, equipment and translators, along with participant travel.
  • Provide travel and visa support to the team.
  • Schedule team meetings, support annual planning, maintain staffing information and trackers, and coordinate recruitment and onboarding of new staff and interns.

Requirements

  • Bachelor's degree in a related field such as business, finance, economics or accounting.
  • Two or more years of relevant, full-time work experience, preferably in financial management, budgeting, administration or nonprofit operations.
  • Able to adapt to rapidly changing priorities and manage several projects with different deadlines.
  • Close attention to deadlines, especially for grant compliance and for monitoring sub-grant and contract relationships.
  • Strong process orientation with care for quality, timelines and organisational systems.
  • Strong writing, database management and proofreading skills.
  • Excellent written and spoken communication, including the ability to work well in a team.
  • Strong computer skills, with a high level of comfort in Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Comfort with web-based communication tools such as Skype and Zoom.
  • Experience with a CRM database such as Salesforce.
  • Budgeting experience in Excel or other budgeting software is highly desirable.
  • Able to work independently with minimal supervision.
  • Based in Bengaluru or Delhi, with an office flex arrangement.
  • The role runs for one year and can be extended based on performance and project requirements, with a start date as soon as possible.
