Role

The Manager – Procurement will be responsible for managing the end-to-end procurement cycle for goods and services, ensuring transparency, value for money, and adherence to organisational procurement policy. The role does not carry independent sign-off authority for high-value purchases; approvals rest with designated recommending and approving authorities, and this position supports the procurement function under the guidance of senior finance/administration leadership.

Responsibilities

  • Manage end-to-end procurement processes, including sourcing, tendering, vendor evaluation, quotation analysis, purchase order issuance, and contract administration
  • Maintain vendor databases, support vendor empanelment, and assist in contract negotiations and renewals
  • Coordinate with internal departments to understand procurement requirements, ensure budget availability, and track purchase orders
  • Monitor deliveries and facilitate timely vendor payments
  • Ensure procurement activities comply with organizational policies, donor requirements, and statutory regulations
  • Maintain complete, accurate, and audit-ready procurement records, supporting internal and external audit processes
  • Prepare procurement MIS reports, dashboards, and management reports
  • Monitor procurement performance, identify cost-saving opportunities, and recommend process improvements

Requirements

  • Bachelor's degree, preferably in Commerce, Business Administration, or a related field
  • 3-6 years in procurement, purchase, or vendor management
  • Proficiency in MS Excel, including pivot tables, VLOOKUP/XLOOKUP, and dashboard preparation
  • Strong vendor negotiation and written/verbal communication skills
  • Familiarity with AMC and contract renewal processes
  • Sound knowledge of procurement policies, tendering processes, and basic statutory compliances (GST and TDS)
  • High attention to detail and discipline in documentation and record-keeping
  • Prior experience in the development/non-profit/humanitarian sector preferred
  • Strong communication, facilitation, and stakeholder management skills
