Role
The Procurement person - Civil and Mechanical will manage end-to-end procurement for civil construction and mechanical works across the Foundation's projects. This includes sourcing vendors, managing tenders, negotiating contracts, tracking delivery and billing, and ensuring all procurement is cost-effective, compliant, and on time.
Responsibilities
- Conduct market surveys to identify and evaluate vendors and service providers; maintain vendor and item master databases; build long-term supplier partnerships to support project needs.
- Prepare and issue RFPs, RFQs, and tender documents; evaluate bids on technical and commercial grounds; recommend vendors based on cost, quality, and delivery performance; obtain approvals and finalise purchase orders and contracts.
- Prepare, issue, and manage purchase orders, contracts, amendments, and change orders; monitor contract validity, renewals, price escalations, and bank guarantees; maintain complete documentation and flag risks or disputes to relevant stakeholders.
- Track material delivery, work completion, and service execution; coordinate with vendors and project teams to resolve delays; follow up on invoice submission, verification, and payment processing.
- Liaise with infrastructure, projects, finance, legal, and user department teams; coordinate with vendors, contractors, and service providers to keep communication clear and projects on track.
- Implement and improve procurement processes and controls; ensure effective use of ERP and digital procurement systems; prepare regular MIS reports on procurement status, contracts, budgets, and cost savings; conduct vendor performance reviews and support improvement where needed.
Requirements
- Bachelor's or Master's degree in Civil or Mechanical Engineering.
- 8 or more years of experience in procurement with a focus on MEP and civil construction.
- Strong understanding of the civil construction industry and a proven track record in procurement.
- Excellent negotiation, communication, and documentation skills.
- Familiarity with ERP systems such as PeopleSoft; proficiency in MS Office (Excel, Word, and PowerPoint).
- Able to manage third-party vendor teams independently and provide support across multiple project locations.
- Committed to ethical, transparent, and policy-compliant procurement practices.
